We collect personal data to manage our customers and for newsletter marketing and communication. The legal basis for processing personal data is consent, an agreement between the parties, or voluntary subscription to our email list.

REGISTER CONTENTS AND REGULAR DATA SOURCES
The information stored in the register includes: name, position, company/organization, contact information (phone number, email address, address), website addresses, billing information, and other information related to customer relationships and subscribed services.
The data stored in the register is obtained from customers via messages sent through forms, emails, phone calls, contracts, customer meetings, and other situations where the customer provides their information.
REGULAR DISCLOSURES AND DATA TRANSFERS OUTSIDE THE EU OR EEA
The recipients of your personal data are our organization’s employees. Data is not disclosed to third parties. We use a marketing tool for sending newsletters, which stores the contact information needed for email marketing (email address, name, company name) on its servers. We retain personal data for the duration of the customer relationship or until the person unsubscribes from our CRM.
PRINCIPLES OF REGISTER PROTECTION
Care is taken in processing the register, and information processed via information systems is adequately protected. The physical and digital security of the equipment is appropriately managed. The data controller ensures that stored data and access rights are handled confidentially.
RIGHT OF INSPECTION AND RIGHT TO REQUEST CORRECTION INFORMATION
Everyone in the register has the right to inspect their stored information and request the correction of any inaccurate or incomplete data. If a person wishes to inspect their stored data or request a correction, the request must be sent to the data controller.
The data controller will respond to the customer within the time frame set by the EU Data Protection Regulation (usually within one month). Individuals in the register have the right to restrict or withdraw consent to the processing of their data (for example, to prohibit marketing). Stored data is not used for automated decision-making or profiling.
PURPOSES AND LEGAL BASIS FOR PROCESSING PERSONAL DATA
To maintain our customer and stakeholder relations, we process the personal data of individuals representing member communities. The purpose of data processing is to maintain the stakeholder relationship, organize events, communicate about the organization’s latest activities, and to develop operations.
To maintain customer relationships related to events and training, we process participants’ personal data. The purpose of data processing is event management, such as processing the information needed for billing and remuneration. We process the data of stakeholders and their representatives to manage stakeholder communication. The primary legal basis for processing personal data is the legitimate interest of the data controller, which is based on the relationship between TM System Finland Oy and the stakeholder, or customer relationship arising from meetings and events. In addition to the aforementioned bases, we may process personal data based on explicit and specific consent. You can withdraw your consent at any time by contacting TM System Finland Oy.
In organizing meetings and events, we process the following personal data or groups of personal data:
- Contact information: name, email address, phone number
- Job position and organization
PHOTOGRAPHY
At events organized by TM System Finland Oy, the same rights and responsibilities regarding photography apply as in any other public space. Photographic material is used for the association’s general marketing.
